How to write an invoice that actually gets paid

An invoice is a request for money, and how you write it measurably affects how quickly that money arrives. Most late payments are not caused by clients refusing to pay — they are caused by invoices that are ambiguous, arrive at the wrong person, or lack the reference number the accounts department needs to process them.

What every invoice must contain

Requirements vary by country, but a handful of elements appear on essentially every valid invoice in the world:

  • The word "Invoice." It sounds trivial, but a document headed "Quote" or "Statement" can be routed to a different pile and sit there for weeks.
  • A unique invoice number. Sequential, never repeated. This is how both you and your client's accounting system track the document.
  • Your details and your client's details. Full legal names, addresses, and tax identification numbers where your jurisdiction requires them.
  • Issue date and due date. An invoice without a due date is an invoice without a deadline.
  • An itemised description of the work. One vague line saying "consulting" invites questions; three specific lines rarely do.
  • Tax, clearly separated. Show the rate and the amount as their own line, never folded into the total.
  • The total owed and how to pay it. Bank details, payment link, or whatever method you have agreed.

The details that speed up payment

Send it to the right person. The person who hired you is frequently not the person who pays you. In any company above a certain size, ask early who invoices should go to, and copy your contact in.

Use a purchase order number if there is one. Many companies simply cannot process an invoice without one. Ask before you send, not after you chase.

Be specific about the deadline. "Net 30" is understood in some industries and meaningless in others. "Payment due by 15 October 2026" is understood by everyone.

Name the file sensibly. invoice.pdf gets lost. ACME-INV-0042-Northwind.pdf gets found.

State late fees before you need them. A line in your terms noting interest on overdue amounts changes the conversation later, and it only works if it was there from the start.

Numbering your invoices

Pick a scheme and never break it. Sequential numbering — INV-0001, INV-0002 — is what accountants and tax authorities expect, and gaps in a sequence can raise questions during an audit. Adding the year is common and helpful: 2026-001. What matters most is that the sequence never repeats and never has unexplained holes.

Avoid starting at INV-0001 on your very first invoice if that bothers you. Plenty of new freelancers start at a higher number, and there is nothing improper about it.

When payment is late

Wait two or three days past the due date, then send a short, friendly note with the invoice attached again. Most late payments are genuine oversights, and a polite nudge resolves them.

If a second reminder passes without response, escalate to a phone call. Email is easy to ignore; a call is not. By the third missed deadline it is reasonable to reference your late payment terms and set a firm final date. Keep every message brief and unemotional — you are not asking for a favour, you are following up on an agreed transaction.

Why this generator has no sign-up

This one has no wall, and the reason is structural rather than generous. The PDF is assembled inside your browser using your own device. There is no server rendering the document, so there is no cost per invoice for us and no reason to make you register. It also means your client's name, address and the amounts you charge are never transmitted anywhere — which, for anyone invoicing under a non-disclosure agreement, matters rather a lot.

Does it remember my business details?

Yes — in your own browser only. Your sender details, currency and notes are saved locally so you don't retype them for every invoice. Nothing is uploaded, and clearing your browser data removes them.

Is this invoice legally valid?

The format covers what most jurisdictions require: a unique number, both parties, issue and due dates, itemised work, separated tax and a clear total. Requirements do vary by country and business type, so check your local rules — particularly around tax identification numbers and any mandatory wording.

How many invoices can I make?

As many as you like. There is no daily cap and no paid tier, because generating a PDF in your browser costs nothing to run.

Can I use characters from my own alphabet?

Latin alphabets including accented characters work fully. Non-Latin scripts such as Chinese, Arabic, Greek or Cyrillic cannot be embedded in the PDF's standard fonts and will be flagged before you download, so you are never handed a broken file.
